This draft privacy policy explains how Job Hunters may collect, use, share, store, protect, and retain personal information in connection with recruitment support, candidate profiles, employer onboarding, and opportunity publishing in Zimbabwe.

1

Introduction

Job Hunters respects privacy and is committed to handling personal information lawfully, fairly, and responsibly. This Privacy Policy explains how we collect, use, store, share, and protect personal information in connection with the platform.

This policy is intended to align with Zimbabwe's Cyber and Data Protection Act [Chapter 12:07], also referenced as the Data Protection Act No. 5 of 2021, together with other applicable laws, contractual duties, and regulatory requirements that may apply to our operations.

2

Who We Are

Job Hunters is the platform operator and, where applicable, the data controller or responsible person that determines how personal information is collected and used for platform operations, recruitment support, profile hosting, employer onboarding, analytics, communications, and related purposes.

Where employers or other opportunity providers receive candidate information through the platform, they may act as independent data controllers or responsible parties in relation to their own recruitment processing activities.

3

Personal Information We Collect

Candidate information

  • name, surname, profile name, email address, and phone number;
  • physical address, city, province, country, and preferred location;
  • date of birth, age range, or other age-related information where relevant;
  • CVs, resumes, education history, employment history, references, skills, certifications, licences, and professional summaries;
  • salary expectations, preferred job type, preferred sectors, availability status, and career preferences;
  • profile image where provided by a connected account or otherwise lawfully supplied;
  • identification documents or verification materials where requested;
  • application history, saved jobs, saved opportunities, interviews, communications, and activity logs;
  • assessment responses, screening answers, and documents voluntarily submitted in support of applications;
  • demographic, disability, or other sensitive information voluntarily provided by the candidate.

Employer information

  • company name, registration details, representative names, email addresses, phone numbers, and office addresses;
  • verification documents, tax or business details where required, and supporting onboarding information;
  • job posts, event posts, opportunity listings, billing records, and recruitment communications.

Automatically collected information

  • IP address, browser type, device information, operating system, and usage logs;
  • referral links, cookies, analytics identifiers, session data, and engagement information;
  • technical information needed for security, performance, fraud prevention, and troubleshooting.

4

Sensitive Personal Information

Some information processed through the platform may be sensitive or high-risk, including health or disability information, national identification details, criminal history, demographic information, or other personal information that requires higher care under applicable law.

We only intend to process such information where it is lawfully provided, necessary for a legitimate recruitment, verification, accessibility, or legal purpose, voluntarily submitted by the user, specifically consented to where required, or otherwise permitted by law.

5

How We Collect Information

We collect information directly from users through account registration, profile creation, CV uploads, applications, onboarding forms, communications, bug reports, payments, support requests, and settings changes.

We may also collect information automatically through cookies, analytics tools, log files, integrations, authentication providers, and security systems. In some cases, we may receive information from public sources, employers, recruiters, references, or third-party service providers where lawful and relevant.

6

Purposes of Processing

  • creating and maintaining candidate profiles and employer accounts;
  • matching candidates with jobs, events, training, internships, scholarships, and other opportunities;
  • allowing employers to review applications and profiles;
  • sending job alerts, account notices, security notices, and operational communications;
  • verifying employers, moderating listings, preventing fraud, and managing abuse complaints;
  • processing payments, subscriptions, promotions, and premium features where offered;
  • improving platform design, security, analytics, recommendations, and service performance;
  • complying with legal obligations, responding to lawful requests, resolving disputes, and enforcing our Terms;
  • reposting, displaying, or indexing publicly available opportunity information where we choose to do so.

7

Legal Bases for Processing

Depending on the context, we process personal information on one or more of the following grounds: the data subject's consent; performance of a contract or steps taken at the request of the user before entering into a contract; our legitimate interests in operating, securing, improving, and promoting the platform; compliance with a legal obligation; protection of vital interests; and public-interest or similar lawful grounds where recognised by applicable law.

Where processing is based on consent, the relevant person may withdraw that consent, although this does not affect processing already undertaken lawfully before withdrawal.

8

Sharing of Personal Information

We may share personal information where reasonably necessary with employers, recruiters, institutions, service providers, hosting partners, analytics providers, email or SMS service providers, payment processors, professional advisers, regulators, law-enforcement bodies, fraud prevention partners, and other recipients where lawful and appropriate.

When a candidate applies for a role, makes a profile visible, or authorises employer access, relevant candidate information may be shared with the relevant employer or recruiter.

9

Employer Use of Candidate Data

Employers, recruiters, and other opportunity providers that receive candidate information through the platform must use it only for lawful recruitment, hiring, communication, assessment, verification, and related employment or opportunity management purposes.

They should protect candidate data, limit access to those with a genuine need to know, and comply with applicable data protection, labour, and confidentiality obligations. We are not responsible for every act or omission of independent employers once data has been shared with them in accordance with the user's actions or authorisation.

10

Third-Party Opportunities and External Links

When users click external links, apply through third-party websites, or interact with external forms or portals, those third parties may collect and process personal information under their own privacy terms and controls.

Job Hunters is not responsible for the privacy practices, content, security, or data handling of third-party websites, application systems, payment pages, or services.

11

International Transfers

Because we may use cloud infrastructure, software providers, analytics tools, or communications tools that operate across borders, personal information may be stored in or accessed from countries outside Zimbabwe.

Where cross-border processing occurs, we aim to use reasonable safeguards, contractual protections, access controls, and provider due diligence appropriate to the sensitivity of the information and the applicable legal framework.

12

Data Retention

We retain candidate profiles while accounts remain active or while the information remains reasonably useful for the purposes for which it was collected. Application records, audit logs, and communications may be retained for longer where needed for recruitment history, legal compliance, fraud prevention, dispute resolution, or defence of legal claims.

When information is no longer needed, we may delete, anonymise, aggregate, or securely archive it. Deletion requests may be limited where we must retain certain records for lawful business or legal reasons.

13

Data Security

We use technical and organisational measures that are reasonably designed to protect personal information against unauthorised access, loss, misuse, alteration, or disclosure.

  • role-based access controls and restricted administrative access;
  • encryption or secure transmission measures where appropriate;
  • secure hosting, authentication controls, monitoring, and backups;
  • confidentiality obligations for personnel and selected service providers;
  • incident response measures and internal review processes.

14

Data Breaches

If we suspect a personal information breach, we may investigate, contain, and mitigate the issue, document the incident, and take remedial steps. Where required by law, we may notify affected persons, relevant authorities, or other stakeholders.

15

User Rights

Subject to applicable law and any lawful limitations, data subjects may have rights to request access to personal information, correction of inaccuracies, deletion, objection to certain processing, restriction of processing, withdrawal of consent where relevant, and information about how their data is processed.

Users may also have the right to complain to the relevant Zimbabwean authority responsible for data protection oversight where they believe their information has been mishandled.

16

Accuracy of Information

Users are responsible for ensuring the information they submit is accurate, current, and complete. We are not responsible for recruitment or other decisions made by us, employers, or third parties in reliance on inaccurate, outdated, or misleading user-supplied information.

17

Marketing Communications

We may send job alerts, platform notices, newsletters, service announcements, employer campaigns, or promotional communications where lawful and where users have opted in or where another lawful basis applies.

Users may opt out of marketing messages at any time using unsubscribe tools, account settings, or by contacting us, although operational and security communications may still be sent where necessary.

18

Cookies and Tracking Technologies

We use cookies and similar technologies for authentication, security, user preferences, analytics, performance monitoring, and service improvement. Some cookies may be placed by third-party analytics or embedded services.

Users may manage cookies through browser settings, device controls, or available consent mechanisms, but disabling certain cookies may affect platform functionality.

19

Children and Minors

The platform is primarily intended for adults. Where minors use the platform in connection with internships, scholarships, bursaries, educational opportunities, or youth programmes, any legally required parent, guardian, school, or institutional consent should be obtained before personal information is submitted.

20

Public Profiles and Visibility Settings

Candidate profiles may be private, visible to selected employers, or searchable depending on the features and settings available on the platform. Users are responsible for understanding what information they choose to make visible or share with employers.

Even where a profile is not publicly searchable, information submitted in connection with an application may still be shared with the relevant employer or opportunity provider.

21

Automated Matching or Recommendations

We may use automated tools, analytics, or rules-based systems to suggest jobs, recommend candidates, personalise opportunities, rank relevance, detect abuse, or improve platform workflows. These tools are intended to support platform functionality and convenience and do not guarantee any opportunity, ranking outcome, or hiring decision.

22

Changes to the Privacy Policy

We may update this Privacy Policy from time to time by publishing the revised version on the platform or using other reasonable notice methods. Continued use of the platform after an update takes effect may be treated as acceptance of the revised policy to the extent permitted by law.
